Overview

JOB SUMMARY:Is expected to perform duties in alignment with the mission and policies of the organization.Performs duties in support of and in compliance with the performance improvement plan, CALS and otherlicensing, accrediting and regulatory agencies.Must demonstrate thorough knowledge of Materiel Managementoperations.Functions under general /minimal supervision of the Director of Materials Management.Responsible for coordinating the day to day operational activities of the Materiel Resource ManagementDepartment which includes: Purchasing, Central Distribution, Shipping and Receiving, Print/Duplicating andMailroom. Directs staff to reach optimal operational efficiencies for all departments to facilitate patient care inthe facility.Works with various department directors in enhancing, solving, and making more efficient theirsupply needs.Assures compliance with all Materiel Resource Management protocols as determined by thefacility and AHMC Policies and Procedures. EDUCATION, EXPERIENCE, TRAINING 1.

Minimum high school diploma, college degree in business administration or equivalent preferred. Willconsider previous experience and knowledge in lieu of degree.2. Minimum 5 years of progressive Materials Management experience in an acute care setting in asupervisory role.

Responsibilities

Manages employees either directly or through supervisors and leads by establishing performance goals, allocating resources, assessing annual performance, and determining individual goals for staff that compliments the facilities business plan. Manages supply informatics system for optimal functionality: i.e. system is functionally sound, correct par levels are in place, correct product information is loaded, correct accounting and charge codes are assigned, correct ordering mechanisms are in place, inventory control system is functional and managed according to financial policies and procedures. Ensures all operational functions occur as scheduled: Month-end reporting, cycle counts, daily activities, annual inventory.

Develops and measures performance improvement indicators for each department under Material Resource Management. Contributes to the continuing education of the staff, and determines the appropriate action for issues requiring disciplinary attention. Is responsible for the completion of all support documents for human resources, including competencies and education/in-service, OSHA requirements, annual EOC and annual health assessments.

Performs data analysis as required to maintain and enhance Material Resource Management effectiveness and efficiencies. Co-Chairs products value analysis committee with Director of Materials. Initiates cost savings opportunities within the facility when appropriate.

Strives to make good use of time. Reports on ongoing projects and their status to Materials Director as needed. Shows willingness to take on new responsibilities.

Assists Director with planning & scheduling of department meetings. Attend required JCAHO meetings in Director absence. Complete customer satisfaction rounds to ensure customers are receiving acceptable customer service to their units.

Responsible/keep accurate maintenance of Time and Attendance for employees. Uses resources wisely, flexes staff during down time and low census what appropriate. Attempts to keep current on essential requirements through training classes, seminars, and participation in outside related organizations.

Takes correct action based on available information and experience. Show good judgment by following written and verbal instructions carefully. Advises appropriate personnel of situations requiring follow-up.

Demonstrates effective social and communication skills, conveys instructions, information and directions appropriately. Addresses patients, visitors and co-workers in a pleasant and courteous manner. Always provides directions to patient’s families and visitors in a pleasant respectful manner.

Works well with the Director and those in authority. Relates to all levels of staff in a professional manner. Works at establishing a good rapport and professional working relationship with all departmental personnel.

Maintains appropriate interdepartmental communications. Ensures supplies are available for patient care 24 hours a day, addresses special orders immediately and cost effectively. Always displays resourcefulness in the completion of daily tasks and special projects.

Always reports out-ordinary circumstances to the Director or other member of the management team.
