Summary
The Operations Intern will work alongside IndeVets' Operations team as a junior scheduling coordinator, gaining direct experience in the day-to-day scheduling workflows that sit at the heart of IndeVets' business. This intern will actively support the coordination of PSM (Personalized Shift Matching) doctor scheduling — handling requests, managing calendars, and navigating exceptions — with hands-on guidance from your experienced Operations Mentor. Responsibilities
- Assist with scheduling PSM doctors in coordination with the Operations team Process incoming scheduling requests and confirm placements with relevant parties
- Manage and maintain scheduling calendars, ensuring accuracy and up-to-date records
- Identify, document, and escalate scheduling conflicts, gaps, or exceptions for resolution Learn and apply IndeVets' scheduling tools, workflows, and communication protocols
- Track exception patterns and flag recurring issues to the Ops team
- Support additional operational tasks and special projects as assigned by mentor Performs other related duties as assigned Education: High school diploma or equivalent required AND Currently enrolled in Business, Operations Management, Healthcare Administration, or a related program (sophomore or above), OR a recent graduate within 12 months
- Experience: Prior experience in scheduling, coordination, administrative, or customer-facing roles, preferred Exposure to healthcare, veterinary, or staffing operations, preferred
- Experience handling exceptions, escalations, or time-sensitive logistics, preferred
- Knowledge & Skills: Highly organized with strong attention to detail and accuracy Clear, professional communicator — comfortable coordinating with multiple parties
- Ability to manage competing priorities and stay calm under scheduling pressure Proficient in Microsoft Office or Google Workspace, particularly calendar tools What You Will Gain:
- Hands-on experience in a real business environment with real IndeVets workflows 1:1 mentorship from an experienced IndeVets professional throughout the program Cross-functional collaboration with interns from three other departments via the capstone project An AI-integrated group capstone project to showcase on your resume or portfolio Program completion certificate and professional reference letter available upon request Consideration for future paid roles at IndeVets based on performance College credit arrangements: IndeVets will provide all required documentation including a signed internship agreement, supervisor evaluations, and hour logs. Students should confirm requirements with their institution and notify us at the time of application. Location & Schedule Expectations: Hybrid with 2 Days Remote and 1 Day In Office (Old City, Philadelphia) 24 hours per week Pay Expectations: Unpaid Start Date: June 1 Equipment: IndeVets will provide access to a laptop as needed
