Summary

The Events Coordinator leads the planning, coordination, and execution of all community-facing events across JAMS programs, including JAMS100 and What A Leader (WAL). This role ensures that every event is structured, organized, and executed at a high level—reflecting the standard and experience of JAMS. The Events Coordinator manages logistics, timelines, vendor coordination, and on-site execution while collaborating with program and operations teams to deliver seamless, high-quality events.

They serve as the operational driver of events—ensuring clarity, preparation, and execution from planning through completion.

Key Responsibilities

Establish Trust

  • Build and maintain strong relationships with internal teams, vendors, partners, and families
  • Serve as the primary coordination point for all community-facing events
  • Ensure clear, timely, and professional communication across all stakeholders
  • Maintain organized event documentation, timelines, and communication plans
  • Uphold a safe, structured, and professional event environment
  • Support clear communication to families and partners regarding event expectations Cultivate Creativity
  • Coordinate logistics for all JAMS community-facing events including:
  • WAL events (Victors Ceremony, showcases, activations)
  • JAMS100 showcases, performances, and family engagement events
  • Organization-wide events (Creative Liberty, donor events, community activations)
  • Collaborate with program teams to align events with program goals and student experience
  • Coordinate event setup, flow, and environment to create engaging, high-quality experiences
  • Identify opportunities to improve event execution, engagement, and impact
  • Ensure events reflect the JAMS brand, energy, and standard Develop Leadership
  • Develop and manage event timelines, checklists, and Run of Show (ROS) documents
  • Coordinate staff, facilitators, volunteers, and vendors for event execution
  • Ensure all event components are prepared, aligned, and ready prior to execution
  • Lead on-site event execution, managing flow, timing, and transitions
  • Troubleshoot issues in real time with confidence and clarity
  • Reinforce accountability and uphold the JAMS LIFE WAY throughout all events Deepen Impact
  • Oversee execution of multiple events across sites and programs
  • Coordinate logistics including space setup, materials, equipment, and vendor needs
  • Track event outcomes including attendance, engagement, and execution quality
  • Identify trends and areas for improvement across events
  • Ensure consistency in event execution across programs and locations
  • Support growth of community partnerships through strong event experiences
  • Assist with documentation and reporting for leadership and stakeholders

Qualifications

  • Bachelor’s Degree (or equivalent experience) in event management, communications, or related field
  • 2–4 years of experience in event coordination, program coordination, or operations
  • Experience coordinating multiple events and managing logistics simultaneously
  • Strong organizational, communication, and project management skills
  • Ability to manage multiple priorities across teams and timelines
  • Comfortable working in fast-paced, event-driven environments
  • Level II background screening required
